Client Business Operations Specialist

Department: Client Services
Location: Remote

At a glance:

This is an integral role that supports business operations for a key client and their lines of business. The Specialist will support the Business Operations Manager to ensure all day-to-day finance-related tasks (forecasting, budgeting, billing and reconciliation) are updated across documentation and drives validation reviews as required. This includes supporting with budget preparation, invoice workflow, account data management, project estimates, SOW and contract management, and client reporting.

This role sits within the Client Service department and collaborates closely with Client Service, Project Management, Finance, and Media teams in a fast-paced environment. The Specialist will act as a critical link between internal teams and clients to maintain operational efficiency and financial integrity.

While open to candidates in all US time zones, preference may be given to those in Central and Eastern time.

What does a Client Business Operations Specialist do at Rain the Growth Agency?

  • Supports the Client Business Operations Manager in all aspects of internal and external business operations.
  • Helps to maintain and monitor client budget data, prepare and reconcile budget vs. actual reports.
  • Assists the Client Finance team with reconciliation reporting, as needed
  • Builds and maintains client-specific reports, track burn rates and scope utilization, and resolve issues with Account leads and Business Operations lead.
  • Collaborates with cross-functional teams – including Client Service and Project Management – to ensure alignment on financial deliverables and processes, while actively contributing input and recommendations for incremental project estimates.
  • Supports the management of financial and operational aspects of client engagements, including SOW and contract management, ensuring execution, accuracy, and compliance with Client Finance and audit procedures.
  • Communicates budget adjustments promptly, resolve discrepancies, and maintain accurate documentation and reporting for client accounts.
  • Provides support and partners with Client Finance to enable invoicing and fund reallocations by providing required information and collaborating with media teams to ensure accuracy and alignment.
  • Participates in daily internal and external stand-up meetings to confirm financial deliverables, timelines, and reporting requirements – ensuring alignment with all teams on financial accountability.

What do we look for in a Client Business Operations Specialist at our agency?

  • 3-5 years in Finance, Business Operations, or Media Operations.
  • Hands-on experience in budget management, invoicing, and reconciliation.
  • Strong problem-solving and organizational skills with attention to detail.
  • Prior experience in a media agency within a finance-focused role is strongly preferred.
  • Ability to prepare and maintain accurate reports and manage day-to-day operational tasks.
  • Highly proficient in Excel and data management, ensuring accuracy and integrity in client reporting.
  • Comfortable working in a fast-paced environment, prioritizing tasks and meeting deadlines.
  • Builds collaborative relationships with internal teams and clients.
  • Excellent communication skills – able to clearly convey information and collaborate effectively.
  • An eye for efficiency – proactively identifies opportunities to streamline workflows.
  • Ability to work across multiple Lines of Business, managing competing priorities with ease.
